英文E-mail 寫作必備範例
擔任行政工作之後才發現，文字不像語言一樣有溫度，
如果不注意書寫方式是會很失禮的，
與大家分享初進入職場時，常書寫犯錯，
被前輩糾正的信件內容及例句，
希望能讓大家少走一點冤枉路，
以下註記要點事項，可以成為您寫作的好範例^^
收件者為長官、外部人員、外賓、邀請學者
1. Pay attention to the correction of mailing title.
注意稱謂的正確性（以收件人最高稱謂書寫），
如A君本職為成功大學教授，兼任系主任，並為中研院院士，則以院士為最高稱謂，書寫時以院士尊稱。
2. Always put a “please”.
敬語的使用永不嫌多。
3. Pay attention to your writing tone.
注意本身用詞的謙卑性，避免直呼長官“你”。
例1. please kindly advice, I am (we are) under your instructions.
請提供建議,我將依據指示而行
例2. …I will( we will) follow up per your command.
我將依照您的每項指示進行
例3. please instruct, I will (we will) follow up accordingly.
請您指示,我將隨時跟進指派
例4. please feel free to contact me, I am under your commands.
若有任何交辦事項,請隨時告知我
例5. I apologize if any delay occurred during my personal leave.
對於休假期間有任何延誤,在此致歉
4. Always forward one copy to your supervisor and colleagues.
請務必副本給主管、副主管、代理人、以及相關人員，
並留存寄件備份。
5. Always refer to your boss.
務必於內文表明業務為主管交辦，
辛苦的永遠是主管，功勞也在於主管。
例1. ….this is from ETPC administrative assistant secretary, vivi. Thank you for joining ETPC 2010 summer programme, I am writing this mail on behalf of Director Cheng, to notify that……
我是ETPC行政助理秘書vivi,感謝您參加我們的ETPC 2010 夏季研習,謹代表鄭董事長寫這封信件,通知.....
例2. …per Prof. Chen’s instruction, please kindly reply this form before next Friday, your help is highly appreciated…
按照陳教授的指示,敬請於下週五前回復此表格,非常感謝您的協助.
例3. …as Executive Secretary wang mentioned last week, we do need your advices/ suggestions…..as a direction to follow.
如王執行秘書上週所提的,我們需要您的建議,做為我們進行的方向(方針)
例4. …it is an honor to receive this mission; we will try to finish it soon.
能夠接受這項任務(使命)是我們的榮幸,我們將儘快完成
例5. …your cooperation will do a lot…..
您的合作將有很大的助益
6. Do not set a “deadline” to your boss.
切勿對長官設定期限,對長官設定回覆期限是不禮貌的。
7. End with “regards”.常用信尾。
“Best regards” “Regards” “Kindly regards”
“Warmly regards” “With Love” “Best”
“Best wishes” “Enjoy your day”
“Have a nice weekend”
“Be regarded”
